The Tenant Phone Call Is the Worst Fault Detector Ever Built

For most single-family rental operators, the HVAC monitoring system is a resident noticing the house is hot. Consider what that instrument actually measures, and how late it fires.

If you operate rental homes, you already have a fault detection system for HVAC. It is the resident. They notice the house is uncomfortable and they call, and that call is the first data you receive about the condition of an asset worth several thousand dollars.

It is worth being precise about what kind of sensor that is.

What the tenant call actually measures

It does not measure refrigerant charge, or airflow, or compressor health. It measures the point at which discomfort exceeded a person's tolerance for making a phone call.

That threshold is not a property of the equipment. It varies with the resident's schedule, their expectations, whether they are home during the day, whether they have complained before, and how they feel about contacting you. Two identical failures in two identical houses produce reports days apart, or in one case never — because some residents adapt rather than call.

As an instrument it has a specific and unhelpful characteristic: it only fires after the failure is complete. Everything upstream — the leak developing over months, the capacity quietly falling — is invisible to it by construction.

The faults that never generate a call at all

This is the expensive part. The Department of Energy's 2018 field review found that nine out of ten systems tested had an installation or maintenance issue correctable for an average 12 % (± 3) improvement, with low airflow present more than half the time and refrigerant charge faults spanning 29–78 % undercharge across studies.

A system in that condition still cools. The resident has nothing to report. So across a portfolio, the majority of degraded equipment generates no signal whatsoever — it just runs longer, wears faster, and waits for the day it cannot keep up.

Your maintenance data therefore has a systematic blind spot. It records failures, not conditions. You know which units died; you have no idea which units are dying.

What arrives with the call

Once a resident does call, several things are true simultaneously, and none of them are good:

  • The house is already uncomfortable, so the clock on resident satisfaction has started.
  • It is almost certainly hot outside, which is why the marginal system finally failed — meaning every other operator's systems are failing too.
  • You are dispatching into a saturated market at premium rates.
  • You have no history on the unit, so the technician diagnoses from scratch.

You are making the most expensive possible purchase of the least flexible possible service, at the moment of least leverage.

The alternative is not a better call

You cannot train residents to report refrigerant drift. The information is not available to them — a house at setpoint feels fine whether the charge is correct or 20 % low.
